What hours does your toll free dictation system operate?
Our digital dictation system is accessible 24/7 and you have the ability to dictate from anywhere at any time using a standard touch-tone phone, cellular phone or digital recorder.
I still use tape cassettes. Is it easy to switch to your dictation system?
If you are currently using analog tape cassettes and desire to switch to digital recorders, DPA will guide you every step of the way as you transition from cassettes to digital recorders. Our dictation and transcription system is extremely user-friendly and easy to learn.
Traditional analog audio tapes can be lost, misplaced or broken. In contrast, digital audio files, which have far superior audio quality, can be stored on your computer and instantly sent across the internet, making digital audio files easier to distribute.
There are a number of benefits of using digital audio dictation compared to tape cassettes including:
- Streamlining work processes
- Decreasing courier costs
- Reducing overhead costs
- Reducing the need for physical storage space
- Increasing productivity

Do you provide training to our staff for your digital dictation system?
Yes. We provide training for all aspects of our dictation system. Our system is very user-friendly and easy to learn.
I have a small practice and I have been dropped by other national transcription companies. Do you require a minimum number of lines per month?
No. We do not require a minimum number of lines. DPA serves all practice sizes, especially small practices.
How long do you keep audio and transcribed files on your server?
We keep audio and transcribed files on our server for 60 days. If a client requests longer storage times, we will be happy to accommodate.
How do you bill?
We bill based on the number of Progress Notes you have such as if you are a U4 your note will be $4.00 per note.
Do you have a quality control plan?
Yes, DPA has a quality control plan to maintain the accuracy of transcribed documents. This plan includes standard editing and auditing to ensure accuracy. Our quality control plan has three levels.
First, our transcriptionists perform quality review of their work.
Second, our network of editors/proofers performs quality control checks on the medical transcriptionists assigned to them. This edit includes listening to the voice file and reading through the transcribed report to ensure accuracy.
Third, our QA manager performs quality control checks on the medical transcriptionists, as well as the editors/proofers. Transcribed reports are checked for errors, omissions, formatting, etc. before they are labeled complete.
How do I know what changes have been made to my document?
For those who use our editing/proofing service, we will return your document with all changes and edits displayed using the “Track changes” option in Microsoft Word. All changes will appear in red (or another color depending on your settings). Any comments, questions, or suggestions will be highlighted in yellow.
What if I am not satisfied with the final edited product?
We make every effort to ensure that you are fully satisfied with the finished product. Even after we return the edited document to you, we are available for consultation, should you have any questions about the changes made. If you are still not satisfied with the document, we will work with you until we achieve the desired result.
What do you charge for your editing and proofing services?

Do you provide technical support?

Do you outsource any of your work overseas?
Absolutely not. We perform all of our transcription and editing services in the United States. That way we can maintain our high level of quality. Further, by performing all work in the United States, we can ensure all aspects of the transcription and editing process are in compliance with U.S. privacy and confidentiality laws.

Yes, we can handle urgent jobs at a slightly higher cost.
What is your turnaround time?
72 hours. Our dedicated team of transcriptionists works hard to comply with this turnaround time. However, if you require a rush editing/proofing job, we can accommodate your needs as well.
Do you require monthly minimums?
No. You don’t have to worry about minimums. Our services and fees are flexible and are based per transcription. The exact rate will vary depending on the services that you require.
Is there a minimum size to the documents you accept for editing?
No. We accept documents of any size.
What payment methods do you accept?
